What is BaseOps, in plain language?
BaseOps is an operations platform that pulls together the everyday tools your staff actually uses: forms, approvals, logbooks, agendas, minutes, reporting, and internal chat.
Instead of juggling PDFs, inboxes, spreadsheets, and shared drives, you get one place to create forms, capture submissions, route approvals, log activity, track meetings, and report on it all.
Who is BaseOps for?
BaseOps is built for organizations that live in a world of public records, paper trails, and operational accountability — like municipalities, authorities, utilities, public safety, and similar teams.
It also works well for private organizations that want the same level of structure and traceability for internal operations, without bolting together five different tools.
Do we have to move everything at once?
No. Most teams start with a single module — commonly:
- Public & internal forms (permit applications, complaints, requests)
- Operational logbooks (water plant, DPW, facilities, etc.)
- Meetings & minutes (agendas and action tracking)
Once that’s running smoothly, it’s easy to layer in invoices, reporting, and chat on top.

What modules does BaseOps include?
Today, BaseOps focuses on a core set of modules:
- Forms: Public-facing and internal forms with approvals and PDFs.
- Logbooks: Operational logs for plants, facilities, vehicles, and more.
- Meetings & minutes: Agendas, packets, minutes, and action tracking.
- Invoices: Simple invoicing tied to form submissions and exports.
- Reporting: CSV/PDF exports, saved presets, and cross-module filters.
- Chat: Internal messaging with DMs, groups, and department channels.
You can turn modules on or off per tenant, so smaller teams aren’t overwhelmed and larger teams can roll out what they need.
How do forms connect to logbooks, meetings, and invoices?
Forms are usually the starting point. Once a form is submitted, you can:
- Create an operational logbook entry from the submission.
- Attach the submission to a meeting agenda packet.
- Reference it inside minutes when decisions are made.
- Generate an invoice or fee record tied back to that submission.
Everything stays connected through the same record, instead of being scattered across PDFs and email threads.
How does the internal chat module fit into this?
Chat is meant to support your workflows, not replace your official records system.
- Direct messages for quick questions between staff.
- Group chats for projects or cross-department work.
- Department rooms for ongoing operations (water, DPW, code enforcement, etc.).
Admins can configure retention, monitoring level (metadata vs. deeper inspection), and whether cross-tenant chat is allowed.
Security & data
How BaseOps treats data, privacy, and access.
Who owns the data inside BaseOps?
You do. Your organization owns and controls the records created in BaseOps. Our role is to securely store, process, and present that data on your behalf.
If you ever leave the platform, we can help you export your data in standard formats (CSV, PDF, and underlying record data where appropriate).
How do you handle sensitive fields like SSNs or IDs?
BaseOps treats designated sensitive fields (like SSNs or license numbers) differently than normal fields:
- Stored separately and encrypted at rest.
- Redacted by default in PDFs and normal detail views.
- Access requires specific permission and is logged.
This lets you still collect required data for background checks or HR workflows while keeping your obligations for security and privacy in mind.
Can administrators see everything staff are doing?
BaseOps has role-based access control across the platform:
- Super Admin: Platform-wide controls and visibility where appropriate.
- Tenant Admin: Admin controls for their own organization.
- Members: Access limited to what they need to do their job.
For chat, you can configure whether admins see metadata only, or have deeper monitoring depending on your policies and legal requirements.

Are submissions and logbooks treated as official records?
BaseOps is designed with the assumption that submissions, log entries, and minutes will be treated as official records under your local laws.
The platform keeps consistent timestamps, user attribution, and structured data to make it easier to respond to public records requests and audits.
Can we export PDFs that look “official” enough for our board or council?
Yes. BaseOps includes a print engine that can generate:
- “Standard” layouts for everyday internal use.
- “Official” layouts with letterhead, seals, and signature areas.
- Configurable two-column vs. one-column layouts depending on the form.
You can tune the layouts so they match your existing paper forms and packets as closely as possible.
How does retention work for chat vs. forms and logbooks?
Forms, logbooks, agendas, and minutes are typically treated as records with long-term retention.
Chat is more flexible: admins can configure retention windows that match your policies — for example, a limited number of days, or longer retention if required for compliance.
We can work with you to align platform settings with your records management policies.

How is BaseOps priced?
Pricing depends on a few factors: the number of users, which modules you turn on, and whether you need additional onboarding or custom work.
Instead of posting a generic price that doesn’t fit anyone exactly, we typically walk through your use cases and size, then provide a quote that reflects your reality.
Can we start small and expand later?
Yes. A common pattern is:
- Start with a single department and one or two high-impact forms or logbooks.
- Prove it out for staff, leadership, and legal.
- Expand to other departments, then add meetings, minutes, and reporting.
This gives you quick wins without forcing your entire organization to switch overnight.

How long does it take to get our first workflows live?
It depends on how many forms or logbooks you want to start with, but in many cases:
- We can configure an initial form or logbook in days, not months.
- Staff can be trained alongside that rollout using the live system.

What kind of support is available once we’re live?
Support options can include:
